Define And Maintain Project Procedures

(Activity) for Tier: Governance

PURPOSE

Each activity within the Sprint, Release, and Product tiers will have a project specific procedure. These procedures allow projects to detail the implementation of their process specific to their projects’s needs.

WHEN

Once a process has been created or revised, or when a procedure update need has been identified in the retrospective meeting.

ENTRY CRITERIA

  • Organizational process guidance has been defined and distributed.

SUB-ACTIVITIES

  1. Draft Procedure

    • Identify a new or updated activity in the process guidance.

    • Draft a procedure for the activity in the project’s procedure repository. Consider archiving or versioning existing procedures so not to impact the team with a draft procedure.

    • Mark the procedure with the following, so that the procedure can easily be discovered by team members and Process Quality Assurance (PQA).

      • The version of the process guidance
        • This version of the process guidance is 10.4
      • The title of the activity
  2. Define Project’s Working Agreements

    • Review the activity with the team in order to determine any working agreements. Many working agreements are determined through retrospectives and ongoing execution of the activity and procedures. It’s normal not to have them initially.
    • Document any working agreements within the draft procedure.
  3. Add Value Beyond Minimal Expectations (Optional)

    • Consider the scope of the activity within your project.
    • Add additional procedural information that is helpful to you as your project executes the activity (e.g. details of how we do it, why we do it, or additions of best practices).

EXIT CRITERIA

  • Procedures have been defined that provide team members with adequate instruction for process execution, as well as satisfy necessary elaboration, as called out within the organizational process guidance.
