Implement Process Improvements

PURPOSE

Once new or revised process solutions have been drafted and peer reviewed, several steps will need to be taken to include these solutions into our company process guidance. This activity serves to provide structure for the key areas of focus when implementing improvements to our processes.

WHEN

Every four weeks and once new and/or updated processes have been approved for release.

PARTICIPATING ROLES

INPUTS

Completed Pull Requests.

ENTRY CRITERIA

  • Processes have passed peer review.

SUB-ACTIVITIES

  1. Update Organizational Processes.

    • Using completed pull requests, merge organization process to Main branch.
  2. Validate Process Changes.

    • Within process QA site, review updated organizational processes with approval authority to ensure the as-written process meets its intent.
    • Gain final approval from the approval authority.
    • Perform final verification to ensure all links and references are functional. Document any issues within a bug workitem and fix prior to deploying new process.
  3. Create Release Notes.

    • Document the changes that will be included in the to-be-released version of the organizational process.
    • The release notes should provide process users a listing of new, updated, and/or deleted process artifacts.
  4. Deploy Updated Organizational Process.

    • Deploy updated process (e.g., processes, templates, etc.) so it is available to all users.
    • Communicate process updates to stakeholders.
  5. Align Systems.

    • Make any necessary system-wide updates based on release of process updates (e.g., update audit system with the criteria that will be used when auditing new and/or updated processes, update training systems to support the training of new and/or updated processes, etc.).

OUTPUTS

  • Updated version of organizational process
  • Process guidance release notes.
