Process Candidate Offer

PURPOSE

Complete the hiring process once a candidate has been identified to hire.

WHEN

Performed when a qualified candidate has been interviewed and selected to fill an open job requisition.

Positive interview feedback recorded in Applicant Tracking System (ATS).

ENTRY CRITERIA

The recruiting and hiring team identify qualified candidate to hire.

SUB-ACTIVITIES

  1. Recommend Offer

    • Recruiter sends an offer notification to HR, including candidate resume, interview feedback, expected compensation and DoD clearance information, if any.
    • HR changes status to extend offer in ATS.
    • HR reviews all data on candidate, completes compensation analysis and sends information including recommended offer to Business Unit Lead (BUL) and compensation committee for approval for offers exceeding $100K. Include CTO for senior engineering candidates.
  2. Extend Candidate Offer

    • HR communicates approved offer amount to recruiter.
    • Recruiter verbally extends offer to candidate and follows up with a brief email to candidate summarizing offer details.
    • Upon verbal offer acceptance, HR generates and sends official offer letter with five days to officially accept/sign.
    • Once the offer letter is signed and sent back to HR, recruiter notifies hiring manager, BUL and interview team of hire and removes job posting.
    • If candidate declines the offer, either a negotiation takes place or the recruiter and hiring team re-initiate the candidate search.

OUTPUTS

EXIT CRITERIA

Disposition of an offer, including accept or decline. New hire fills position.
